What is Flo and what can it do?

Flo is Flowshot's built-in AI assistant. You can chat with it directly, or hand it unstructured text (a long email thread, meeting notes, a Slack conversation) and ask it to turn that into tasks. Flo also does the automatic triage on everything Flowshot captures from your connected tools — ranking incoming items by priority and labeling them so your Flow list stays organized without manual sorting. Flo only reads what it needs to do the job (task titles, statuses, the text you give it) — it isn't used to train any external model.

How do I invite teammates to my workspace?

From Settings → Team, the workspace owner can generate an invite link. Anyone who opens it and creates (or signs into) a Flowshot account joins that team automatically. A few things worth knowing: - Invite links expire after 7 days. - Each invite link is single-use — generate a new one for each person, or share the join page and let people request access. - Creating a team requires a Pro or Enterprise plan — Starter accounts can join a team someone else created, but can't start their own until they upgrade.

How does the Calendar view work?

Calendar shows every task that has a due date, laid out by day. Overdue tasks and everything due this week are called out separately so you don't need to scan the whole month to see what needs attention now. Tasks without a due date live in Flow but won't appear on the Calendar until you set one.

How do I reset my password?

Go to Forgot password and enter the email on your account. If an account exists for that address, we'll send a reset link — following it lets you set a new password. If you're signed in already and just want to change your password, do that from Settings → Account instead. The reset link expires after 1 hour for security — request a new one if it lapses.

I deleted a task by mistake — can I get it back?

Yes. Deleted tasks go to Trash, not straight to permanent deletion. From Trash you can: - Restore an individual task back to Flow - Permanently delete a single task - Empty the entire Trash at once Nothing in Trash is recoverable once you permanently delete it or empty the Trash — double-check before using either of those.

What can team members see and do?

Team workspaces have two roles: - Owner — the person who created the team. Manages billing, invites, and can remove members. - Member — can see and work the team's shared task list, add tasks, and use Flo within the workspace's shared AI credit pool. If you need a different permission structure (e.g. multiple admins), let us know from a support ticket — this is an area we're actively expanding.

What are AI credits and what uses them?

Every message you send to Flo, and every time you ask it to extract tasks from free text, uses AI credits — the exact cost scales with what Flo has to do: - A base reply costs 1 credit, plus roughly another credit for every extra ~600 characters Flo generates for a longer reply. - Extracting tasks from a block of text costs 1 credit for the first task, plus 0.5 credit per additional task pulled out of the same batch. - A single action is capped at 5 credits maximum, however long or complex it is. How do I change the email or name on my account?

From Settings → Account, you can update your display name at any time. If you need to change the email address on your account, open a ticket from your current account (or the new email, if you no longer have access to the old one) so we can verify it's really you before making the change.

How do I upgrade, downgrade, or cancel my plan?

Go to Settings → Billing. Changing plans takes effect immediately: - Upgrading unlocks the new plan's features and AI credit allotment right away. - Downgrading takes effect immediately too — you'll drop to the lower plan's limits (for example, Pro → Starter drops you to 1 workspace and a 7-day activity history window). - Cancelling stops future billing; you keep access through the end of the period you already paid for. I've run out of AI credits — what now?

Nothing else in Flowshot stops working. You can keep creating and managing tasks manually, and every connected integration keeps capturing tasks automatically — the only thing that pauses is chatting with Flo or asking it to extract tasks from text. Credits reset automatically at your plan's renewal (weekly on Starter and Pro). If you need more before then, buy a one-time credit pack — 200 AI credits for €5.99 — from Settings → Billing, or upgrade to a plan with a larger weekly allotment. Admins and the account owner always have unlimited credits, regardless of plan.

Can I be part of more than one team?

Team membership in Flowshot is per-workspace. If you need to work across multiple teams, ask each team's owner to invite the email address you want to use for that workspace — you can then switch between the personal Flow and each team you belong to from the sidebar.

How do custom categories work?

Categories are your own labels for organizing tasks beyond what Flo assigns automatically — think "Client work," "Internal," or "Urgent fixes." Create them from the Categories view, give each one a name and color, and apply them to any task. Categories are unlimited on every plan, including Starter.

Is my data used to train AI models?

No. When Flo processes a request, it only sees what's needed to answer it — task titles, statuses, and the text you explicitly give it. That data isn't used to train any external AI model.

Do unused AI credits roll over?

Within a billing period, unused AI credits carry over — they don't reset until your plan actually renews (weekly for Starter and Pro's weekly allotment, annually for Enterprise's terms). If you need more credits before your next renewal, you can also buy a one-time top-up pack — 200 AI credits for €5.99 — from Settings → Billing, which adds credits on top of your current balance without changing your plan.

Can I use Flowshot on mobile?

Yes — the whole workspace is responsive and works in any mobile browser. On smaller screens, the sidebar is replaced by a bottom tab bar so you can switch between Flow, Calendar, Categories, and Settings with one thumb. There's no separate native app right now; add the site to your home screen for quick access in the meantime.

I was charged but my payment didn't go through — what happened?

This usually means the charge succeeded on our end but the confirmation didn't reach your browser (a network hiccup during redirect, for example). Your plan and credits should already be updated — check Settings → Billing first. If your plan still shows the old tier a few minutes after paying, open a ticket with your account email and, if you have it, the payment confirmation from Polar. We can look up the order and apply it manually. Duplicate charges are automatically prevented on our end — you won't be billed twice for the same order, even if you tried paying more than once.

Is there a limit on how much task history I can see?

Completed tasks stay in your data forever — the limit is only on how far back you can see them without upgrading. Starter shows the last 7 days of completed-task history; Pro and Enterprise show your full history with no cutoff. Upgrading immediately unlocks the older history — nothing needs to be re-imported.

Can I export my data?

A self-serve export isn't available in the product yet — it's on our roadmap. In the meantime, open a ticket with what you need (e.g. all tasks as CSV) and our team can pull it for you.

How do I delete my account?

Accepted Answer

Open a ticket from the account you want to close and let us know. We'll confirm it's you and permanently delete your account and associated data. This can't be undone — make sure you've exported anything you need first (see Can I export my data?).
